monday.com has a slightly different terminology to other products. Users are called ‘Seats’. Fees are based on the number of seats in your business, so every plan is available in increments of either 3, 5, 10, 15, 20, 25, 30, 40, 50 seats. It’s a bit needlessly confusing and a sore point in an otherwise solid software option.

How much a seat costs depends on the plan you choose. As a general rule, the more functions you want the platform to perform, the more advanced the plan you should choose. Higher software tiers tend to have more features and permit more users.

We signed up for the app ourselves to properly put it through its paces. Below, we’ll go into our findings in closer depth to help you decide which plan is the most suitable (and affordable) for your business.

monday.com Basic is suitable for businesses seeking a simple way to organise projects. Its feature list prioritises transparent communication – a big motivator for today’s small business users who work remotely or in a hybrid model.

During our testing we particularly liked that task comments can be enabled to encourage speedy updates and less time spent in meetings (unlike ClickUp, which only has a company wide chat for instant messaging).

The Basic plan also provides the option to build up to 15 widgets to track everything from project progress to overall spend. And, thanks to a nifty update monday.com announced in February – these can be displayed in the corner of your screen so they don’t distract from work.

We wouldn’t recommend the Basic plan for complex working, such as teams with more than ten collaborators. More advanced views, such as Gantt charts, are not available.

However, this plan does give you an attractive and colour-coded view of a timeline through monday’s famously customisable templates (which is why we ranked it so highly in our best CRM for small business) – and all for a low monthly cost of just £8 per user, billed annually.

monday.com Standard is the teenaged version of monday.com Basic. While the latter is best for short-term projects, monday.com Standard loses the limitations of the Basic plan (you’ll be able to use time-tracking tools such as Gantt charts) to suit more complex projects lasting more than a month.

Added allowances, such as the milestone feature, mark specific points along a project timeline. So, if you’re delivering a product in phases, such as software development, you can still use monday’s gorgeous templates – but this time apply them to long-term ambitions.

Perhaps the biggest incentive to level up to monday.com Standard, though, is the integration allowances. Users get 250 actions per month including social apps. So, if you’re planning a campaign, you can post directly to social media accounts on Instagram and LinkedIn.

monday.com can also integrate with specialist project management apps like Jira (popular with software engineers). Earlier this month, monday.com announced an update to its Jira integration so that teams using both platforms can choose to share relevant information with each other.

The main difference between monday.com Standard and the Pro plan is a wider variety of restrictions and permission features, making it more suitable for supervising larger teams.

Subscribers get hierarchical functions such as task dependencies (following an update, all related tasks will automatically adjust accordingly) and the custom chart builder. This enables you to build datasets with tailored information specific to the needs of shareholders.

As a result, you’ll dramatically reduce your time spent shifting through various platforms to compile weekly or monthly reports. Other increased allowances include automations (you’ll get 250,000 on the Pro account, whereas the Basic plan offers just 250) and the ability to build private boards.

One managerial tool we’d like to see monday.com Pro offer is resource management. You’ll need to upgrade to its highest premium plan for this function – whereas ClickUp permits it for zero charge.
